The One Number That Matters Most
Before you focus on your total score, look at your weakest section above. Your lowest section is likely creating more occupancy drag than the other four sections combined.
The mistake many communities make is trying to improve everything at once. The communities that improve census fastest typically strengthen one weak system until it stops leaking, then move to the next.
Each section corresponds to a stage in The Occupancy Flywheel™. Weak scores early in the flywheel, especially in discovery and conversations, tend to affect every stage that follows. Strong scores later in the flywheel, such as referrals, rarely sustain themselves if the earlier stages are inconsistent. That is why most communities see the greatest impact by strengthening the earliest stages first.
Where to start:
Across the senior living operators I work with, most communities do not fall into perfectly balanced performance. They cluster around a few predictable patterns.
Communities scoring below 60 most often show gaps in discovery and follow-up, not lead volume. Communities in the 65–80 range typically have strong individuals carrying results, but lack the systems to sustain performance under pressure. Communities above 85 rarely got there by accident. They usually built their results through consistent coaching, disciplined conversation practices, and referral relationships developed over time.
If your results feel familiar, they likely are. The patterns are surprisingly consistent, which is also why they are fixable.
The communities working hardest to generate more leads are often the same ones losing the most opportunities during the sales process. The issue is rarely effort. It is usually a breakdown in discovery, follow-up, or consistency.
The encouraging part is this: once seen clearly, these gaps are almost always fixable without increasing marketing spend.
Most census decline begins quietly, long before occupancy dashboards reveal the problem. A small drop in conversion can carry a surprisingly large impact over a year.
A community averaging 20 tours per month at a 20% conversion rate produces 4 move-ins. Improving conversion to 30% produces 6 move-ins, a 50% increase without increasing lead volume. At an average monthly rate of $5,000, that is a difference of $10,000 in monthly revenue from the same number of tours.
That is why improving conversion quality is often the highest-return investment a community can make.
If this scorecard surfaced multiple areas for improvement, start with discovery. Discovery conversations influence tour quality, follow-up relevance, family trust, review outcomes, and referral potential. When discovery improves, the entire system becomes more effective.
Focus on moving just two behaviors from inconsistent to consistent. That is usually enough to shift census momentum.
